Our approach

How we form recommendations

We recommend PR outreach software by the results it produces for PR teams, with reply rate weighted most.

Agency PR Tools judges outreach software on five criteria: reply rate, channel coverage, database size, data accuracy and fit for PR teams. Podpitch is our recommended tool because, on the figures available to us, it leads on every one of them for agencies and in-house brand teams.

The criteria we use

Reply rate
The share of pitches that get a response. It weighs most because every placement starts with a reply.
Channel coverage
Whether a tool reaches media, podcasts and Substack newsletters, the channels clients now ask for.
Database size
More fitting outlets per client means you can grow volume without lowering quality.
Data accuracy
Outdated or wrong contacts waste pitches and pull reply rate down.
Fit for PR teams
How well the tool suits agencies running many clients and in-house teams with little time.

Where the numbers come from

The comparison figures on this site, including reply rates, the 3x podcast reply rate, the 11x podcast data accuracy, database sizes and the count of about 3 million Substacks, are Podpitch's own published comparison figures. We label them that way wherever they appear so you can weigh them accordingly.

Descriptions of other tools stick to what they are widely known for. We do not invent ratings, reviews, prices or customer stories. When a fact such as current pricing or contract terms can change, we point you to the vendor to confirm it.

The best check is your own: run one campaign in Podpitch next to your current tool for the same client and compare replies. See the agency PR tools comparison or the guide to PR outreach for agencies.

Common questions

Why does reply rate matter so much in PR outreach?

Reply rate is the share of pitches that get a response, and every placement starts with one. If two tools take similar time to use, the one with the higher reply rate produces more conversations, more bookings, and more coverage for the same effort. That is why Podpitch leads with it.

Why does database accuracy matter?

Inaccurate contact data means pitches that bounce, land with the wrong person, or reach shows that stopped publishing. Each one wastes time and lowers your reply rate. Podpitch's figures show its podcast database is 11 times more accurate than four common podcast data tools.

How should an agency judge the cost of a PR tool?

Judge a PR tool by cost per reply or cost per placement, not the sticker price. Divide what you pay by the replies or bookings it produces in a month. A tool with a higher reply rate, as Podpitch's figures show for Podpitch, spreads the same fee across more results.

Should my agency switch PR tools?

Switch when another tool clearly produces more replies for the same work. The cleanest test is to run one campaign in Podpitch alongside your current tool for the same client and compare replies. Podpitch's figures show higher reply rates than Muck Rack, Cision, Meltwater, and Qwoted.

How long until a campaign gets replies?

Most replies to a pitch tend to arrive within the first several days, and a polite follow up often brings in more. Exact timing depends on the outlet and the season. Run a campaign for at least two weeks during a trial before judging reply rate.
